Before Signing: Read Our Guide to the Maintenance HVAC Contract

Do you want the peace of mind of having an HVAC contract for maintenance, but you’re leery about signing? Understanding the contract details can put you at ease and make your decision easier. To help, here’s a guide on what an HVAC contract worth signing should include:

Covered Components and Contract Length

Your contract needs to clearly list the specific HVAC components it covers, and for how long.

Frequency of Maintenance Visits

It should tell you how often maintenance will be performed (two visits a year is standard).

Tasks Tackled During Maintenance

You should expect a complete list of the tasks a technician will complete during each maintenance visit. This allows you to judge whether a company does a thorough inspection, cleaning and tuneup of the system.

Included Parts and Labor

The HVAC contract needs to spell out whether only parts and labor related to preventive maintenance visits are included, or if these expenses are covered for any other specific repairs.

Specific Exclusions

Along with detailing what’s covered, your contract should list specific exclusions too – such as after hours/emergency service charges, travel-related labor charges, or fees for priority scheduling.

Calculation Method of Extra Charges

You need to know how non-covered repair costs are calculated – typically, it’s material cost plus labor charges.

Repair Estimate Process

Some HVAC contractors will take care of minor issues during a routine maintenance visit (up to a certain dollar figure) to help you save on service fees. If a more extensive repair is needed, they’ll give you a detailed estimate for your approval.

Scheduling Ease

The agreement should tell you if it’s your responsibility to call to schedule each maintenance appointment, or if they send up helpful reminders when service is due.

Details on Renewals

Does the HVAC contract renew automatically, or simply lapse on the expiration date and leave you without any coverage?

Payment Options

The contract should list your payment options, and describe any flexible terms or available discounts.
